This Privacy Policy explains how Axiom Global Technologies (“Axiom,” “Provelis,” “we,” “us,” or “our”) collects, uses, stores, shares, and protects information in connection with the Provelis Recruiting Operating System and its modules, including Compass, Caliber, Crucible, and Nexus (collectively, the “Service”), available at provelis.ai and its subdomains.

By using the Service, you agree to the practices described in this policy.

1. Who we are

Provelis is an AI-native recruiting operations platform that helps companies plan, source, assess, and schedule candidates across a single pipeline. The Service is operated by Axiom Global Technologies. If you have questions about this policy or your data, contact us at hello@provelis.ai.

2. Information we collect

We collect the following categories of information:

• Account and contact information you provide when you sign in or create an account (name, email address, role, and organization).
• Recruiting and assessment data processed in the normal operation of the Service, including job descriptions, candidate profiles, interview recordings, assessment scores, and scheduling details.
• Google account data that you authorize us to access through Google OAuth (see Section 3 below).
• Usage and device data, such as log data, IP address, browser type, and interactions with the Service, used to operate and secure the platform.

3. Google user data and Google Calendar access

When you connect your Google account, we request access only to the Google data needed to provide scheduling features. Specifically:

• Google Calendar (calendar / calendar.events): We access your calendar to check availability and to create, view, update, and manage interview events that you schedule through the Service. This allows Caliber to automatically schedule interviews and send the right invitations on your behalf.

How we use Google user data. We use Google Calendar data solely to provide and improve the scheduling features you request. We do not use Google user data for advertising. We do not sell Google user data.

How we store and protect it. Google Calendar data is accessed in real time where possible. Where we store calendar event details, we encrypt data in transit and at rest and limit access to authorized personnel and systems that need it to operate the Service.

How long we keep it. We retain Google-derived event data only as long as needed to provide scheduling functionality, and we delete it when you disconnect your Google account or close your account, subject to legal retention requirements.

Revoking access. You can revoke our access at any time at https://myaccount.google.com/permissions, or by disconnecting Google from within the Service.

Limited Use disclosure

Microsoft Outlook / Microsoft 365 Calendar

When you connect a Microsoft account, we request access only to the Microsoft Graph data needed to provide scheduling features. Specifically:

• Calendars.ReadWrite: We access your Outlook / Microsoft 365 calendar to check availability and to create, view, update, and manage interview events that you schedule through the Service. This is the minimum scope needed to mirror your Provelis interview schedule into your Microsoft calendar; we do not request Mail., Contacts., or Files.scopes.

The same usage, storage, retention, and Limited-Use principles described above for Google data also apply to Microsoft data. We do not sell Microsoft user data and do not use it for advertising.

Revoking access. You can revoke our access at any time at https://myaccount.microsoft.com/consent, or by disconnecting Microsoft from within the Service.

Apple Calendar and other iCal-aware clients

For Apple Calendar, Outlook desktop, Thunderbird, and any other iCalendar-aware client, the Service can generate a personal subscription URL that streams your scheduled interviews as a read-only iCalendar feed. We do not connect to Apple's servers or store Apple-account credentials; the URL itself is the credential, signed with a per-deployment secret and tied to your account. Anyone who has the URL can see your interview schedule, so treat it like a password and only paste it into trusted calendar clients. The feed is read-only — your calendar client cannot push edits back to Provelis through it. Revoke the URL by signing out of the Service or asking us to rotate it at hello@provelis.ai.

4. How we use information

We use the information we collect to:

• Operate, maintain, and provide the features of the Service, including planning, sourcing, assessment, and scheduling.
• Schedule and manage interviews and send related communications.
• Verify candidate identity and assessment integrity (for example, proctoring features in Caliber).
• Secure the Service, prevent fraud and abuse, and troubleshoot issues.
• Comply with legal obligations and enforce our terms.

5. How we share information

We do not sell personal information. We share information only:

• With service providers that process data on our behalf (such as cloud hosting and infrastructure), under contracts that require them to protect it.
• Within the hiring workflow, so that candidates, recruiters, and client companies see the data relevant to their role in the pipeline.
• For legal reasons, where required by law or to protect rights, safety, and the integrity of the Service.
• In a business transfer, such as a merger or acquisition, subject to this policy.

We never transfer Google user data except as necessary to provide the Service, comply with applicable law, or as part of a merger or acquisition, consistent with the Limited Use requirements above.

6. Data retention

We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter only as required for legitimate business or legal purposes. Google-derived data is deleted upon account disconnection or closure as described in Section 3.

7. Security

We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest, access controls, and monitoring. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights, contact hello@provelis.ai. You can also revoke Google access at any time as described in Section 3.

9. International users

We may process and store information in countries other than your own. Where required, we use appropriate safeguards for international transfers.

10. Children's privacy

The Service is not directed to individuals under 16, and we do not knowingly collect their personal information.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date, and material changes will be communicated where appropriate.
